Family status

We're here to support when your family changes. Most UVic benefit plans include provisions for family members, provided they are added to your plan within the established timelines. This page will review deadlines and processes related to changes in your family status as they pertain to leaves and benefits.

Birth or adoption

Children must be added to your UVic benefits plans within 30 days of birth or adoption. For more information on maternity and/or parental leave, read below.

Please see benefit enrolment and termination for more information on eligible dependents.

As children age, you must immediately advise the Benefits Office (benefits@uvic.ca) if at any time your child is no longer a full time student, or no longer meets the conditions above.

Maternity & parental leave

 UVic supports growing families through maternity and parental leaves.

Before your leave:

  1. Obtain a note from your physician or midwife to confirm the expected due date.
  2. Prepare and submit a letter to your supervisor including:
    • expected due date
    • expected length of leave
    • attached note from your physician or midwife

At the start of your leave:

  1. Contact payroll at the beginning of your leave to confirm a Record of Employment has been sent to EI.
  2. Complete and submit your application for EI benefits once your leave begins; make contingency plans for payment delays during EI adjudication process.
  3. Submit EI approval notice to payroll to initiate top up payments (if eligible).
  4. Return auto-debit authorization to maintain benefits while you are on leave.

Within 30 days of birth or adoption:

  1. Complete benefits paperwork to add your child to extended health and dental plans.
Contact payroll and your supervisor if you need to alter your leave dates.

Marriage or common law

Your legal spouse or common-law partner is considered an eligible dependent and may be added to your UVic benefits plan, if registered within 30 days of the marital status change.

A common-law partner is a person who has been publicly represented as your spouse for at least one year.

Separation or divorce

Any change in marital status, including separation or divorce, may impact benefit eligibility for your dependents. Please advise the benefits office (benefits@uvic.ca) of any change in your marital or dependent status within 30 days.
